Board Meeting Minutes

    The regular Meeting of the Michigan Chess Association Executive Board took place at 6:30pm January 6, 2001, at Chess Express in Ann Arbor with the Vice-President in the chair.

    I. Approval of Agenda.
    Change to agenda - E. CD committee moved to under publications.  Passed by all
    II. Approval of Minutes for meeting held 11/03/2000.
    Corrections - Date at top is wrong meeting held 11/03/2000, not 11/02/2000;
    Under 3.F. Ciaffone misspelled;
    Under 3. J-7 Change Michigan Open 2001 to Michigan Open Committee.
    Moved to approve 1st Pete Nixon, 2nd Alex Lehmann. Passed all in Favor.
    III. Officers and Committee Reports.
    A. President's Report - by Jay Carr
    Had discussion about problem with a tournament listed in the chess publications, but cancelled by the organizer - received a complaint letter about the tournament not being held. General consensus will have publications make a special note of any cancelled tournaments. If an organizer has a history of scheduled tournaments not being held will have that noted in the publications. That did not seem to be the case here.
    B. Membership Secretary Report (not Present) -sent e-mail report.

    Alex Lehmann reports there have been 5 online memberships processed and the system worked just fine.  Bob Ciaffone presented copies of the new registration forms.  Renewal Letter does not have correct multiyear rate listed.
    C. Treasurer's Report by Bill Calton
     
    GENERAL FUND IS NEGATIVE.  We are depending on the Jr. Tournaments to put it back in the black.  Financial Report and Analysis: Cost of Magazine/Bulletin and Membership Dues given at end of minutes.
    D. Publications
     
    1. Michigan Chess by Don Vandivier
     
    Have a new printing company (Best Image) - expect the cost will be $80 less per issue.   Made a special color cover for the Jan-Feb 2001 issue that cost an extra $400. Mailer is not expected to be changed.  Using first class mail for Patron members.
    2. CD Committee by Don Vandivier.
     
    PDF runs from Adobe Acrobat reading directly from the CD player. Have sold 2 already.
    3. Michigan Chess on Line by Nick Pope.
     
    Working on putting magazine on line, greatly helped by the work Don has been doing.  Dynamic Tournament Calendar on line is working on a trial basis.
    3. Tournament Calendar.
     
    Discussion - would like the Magazine editor and tournament calendar editors to coordinate when they come out.  Internet discussion about this  between this meeting and the one in March:  Because of uncontrollables (ie how long US Postal Service takes to deliver is highly variable) the best solution was to have the Tournament listings start with the 7th of the month - Magazine editor is also putting a note in the magazine to indicate the magazine is expected to get to the member by the 14th of the month.
    E. Internet Committee
     
    U.S. Scholastic team Match - Discussion.  Posting Tournament Rulebook and Scholastic Chess Rulebook on Internet site-Discussion.  Timelines on Web page Maintenance. Discussion.
    F. Rules/Bylaws Committee.
     
    Agenda Deadline - Discussion.  Deadline for distribution of meeting minutes - Discussion.   List of all standing rules - Committee is working on revising and organizing entire list.
    G. Tournaments
     
    1. Quick and Speed
    2. Action & Women's: Action - made a little.; Women's - lost a little.
    3. Masters/Experts/Class - Carr -all ready.
    4. Scholastic Team Events: Nixon will do trophies and supplies.  Vandivier offered to help.
    5. Scholastics:  March 17-18 in E. Grand Rapids.  Nixon will work on details.  Nixon noted we are running out of score sheets.
    6. Michigan Open: Approve Prize fund for Michigan Open 2001.  Entry Fees for under 18 will be $10 less than the adult fee for that section at the Michigan Open 2001.  Any new sponsorship money raised for the Michigan Open 2001 is to be added to the prize fund if stipulated by the sponsor.
    7. Bottom Half-Class to be held June 8-9-10, 2001.
    8. Senior to be held June 23, 24, 2001.
    9. Michigan Amateur tentatively set for July 21-22, 2001 in Kalamazoo.
    Other:
     
  • Master's Chess Committee by Ben Finegold Planning the Invitational for May.
  • Rules and Procedures.  Discussion of trophies/awards.  Discussion of TD pay - Pete Nixon did a report that estimates current proposed increases would cost MCA about $3825 per year. Every $1 increase in TD pay would work out to about $53 per year increased cost.  Discussion of term "MCA Event".
  • A Scholastic Committee is created consisting of Pete Nixon (temporary chairman), Ben Finegold, and Bob Ciaffone. Six people are to be elected to the Committee from the Scholastic team events by the coaches, two from each event. This committee is to meet one hour before the next board meeting to elect a chairman.
